JUDGE’S SECRETARY REF NO: 2024/06/OCJ

(3-Year Contract)

SALARY: R294 321 – R343 815 per annum (Level 07), plus 37% in lieu of benefits. The
successful candidate will be required to sign a performance agreement.

JOB LOCATION: Gauteng Division High Court: Pretoria

REQUIREMENTS:

Matric Certificate One (1) to three (3) years working as an office assistant in a legal setting or as a secretarial. a legitimate driver’s license. An LLB degree will be advantageous, as will complete at least 20 modules toward an LLB, BA/BCOM Law degree. The application must be accompanied by the results. Those who make the shortlist must pass a typing test.

DUTIES:

to verify attendance and to screen every call, both inbound and outbound. must make certain that the Judge’s appointments and meetings are recorded. to guarantee that correspondence is filed in the appropriate categories and that decisions are typed correctly. To make sure that the typist and the library receive signed judgments and orders that are rendered in court or electronically (judgment only). to guarantee that each guest is welcomed, screened, and has their questions answered.

to guarantee that all documents, both coming in and leaving out, are filed and documented.
to make certain that the judge’s stationery is ordered and picked up. to guarantee the court files are prepared and the judge has the necessary papers in the file according to the duty roster on time. to guarantee that the Registrar of each part verifies all files received from that section. to guarantee that the reviews are returned to the review clerk signed and updated in the register.

to make sure that the template or register for the reserved judgment is updated, and to notify the office of the Judge President and the Statistics officer upon the delivery of the judgment. to guarantee that the judges receive the transcripts of the judges’ rulings for signature and approval. to compile and deliver court rolls to interested parties for the Opposed Motion and Urgent Court.

to guarantee the receipt, filing, and verification of the Heads of Arguments from all relevant parties. Notifying the parties concerned by phone or email of the day and time that reserved decisions will be delivered, as well as the manner in which the judgment will be delivered. to guarantee that the judge’s bench book is ready and that all court documents are there before the judge opens the session or walks into the room.

to guarantee that all parties concerned are present in court prior to the start of the proceedings. to guarantee that every case is called and documented in accordance with the court roll. Parties can begin their matters when the judge calls for the case number and the parties’ names to be recorded. to guarantee that, when necessary, the appropriate Oath ID or declaration is given in court. to guarantee that the exhibits are carefully handled, managed, noted, and photographed as appropriate.

to guarantee that, following the judge’s approval in court, the appropriate order is endorsed on the file and/or on Caselines. Make sure you sign the paperwork that need to be signed before approval in order to guarantee that all travel and lodging plans are made on time. to guarantee that the Judge’s logbook is sent in to the Transport Officer by the fifth of each month, at the latest. Obtain the judge’s automobile preauthorization in order to guarantee that the car is scheduled for either maintenance or service. must bring up the invoices with the Judge in order to facilitate the processing of the S&T claim filing.

to guarantee that claims for 3G and cell phone data are submitted for processing. Make that the court roll(s) are turned in to the statistical officer by the end of each Friday at the latest.
